Herausforderung

Vidinge Grönt's supplier base grew from 100 to 300 growers and suppliers. That meant three times as many GLOBALG.A.P. certificates to request and supplier documents to review, plus more supplier evidence to gather for Vidinge Grönt's BRCGS food safety audits. Vidinge Grönt's team did all of it by hand.


Then the EU Packaging and Packaging Waste Regulation (PPWR) arrived, and Vidinge Grönt had to collect packaging data it had never gathered before.


Before Simvia


At 100 suppliers, Vidinge Grönt's Excel overviews were already hard to keep accurate. At 300, every new grower meant another set of certificates and documents to request, check and follow up. Vidinge Grönt had no reliable way to check that the certificates and documents suppliers sent were correct, so the team checked them by hand as well.


Now that the PPWR has arrived, Vidinge Grönt needs packaging data for every unit, at primary, secondary and tertiary level, to back its declarations of conformity. That data sits with the suppliers.

Lösung

Vidinge Grönt moved supplier requests, documents and packaging data out of its spreadsheets and into Simvia. The team sends packaging data requests with a deadline, suppliers answer through a portal, and the documents they upload are scanned with AI. Vidinge Grönt reviews everything before accepting it and generates each declaration of conformity from that data.


"What I liked is that we realised we can use Simvia for everything," says Marilena Dote, Commercial Process Manager at Vidinge Grönt. "We don't have to create our own Excel files any more."

Ergebnis

Vidinge Grönt now keeps each supplier's certificates, documents and PPWR packaging data in one place in Simvia, and no longer maintains a separate Excel overview. The team can see which packaging is compliant and which still needs data from a supplier.


"Using Simvia for PPWR has saved us an estimated 40–60% of the manual work compared with using Excel and has made the whole process much easier to manage and follow up," says Dote. "Initially, we even considered hiring a dedicated person to handle PPWR, but with Simvia that was no longer needed."
